JOB TITLE: Central Office Front Desk Receptionist / Assistant to District Administration
POSITION STATUS: Full-time (12 months) Secretary II
BASE REQUIREMENTS:
- High school graduate
- Completion of college credit hours in office, business, or a related field (preferred)
- Successful completion of district background check
- Computer literacy and proficiency with digital platforms such as: Google, Excel, Word, Adobe, PDF, etc. is essential
- Effective communicator (both orally and in writing)
- Self-motivated to work with minimal supervision when necessary
- Ability to efficiently operate various office equipment (copiers, scanners, phones,printers, etc.)
- Excellent interpersonal, communication, and public relation skills
- Effective time management and organizational skills
REPORTS TO: Director of Human Resources and School Accreditation
RECEIVES GUIDANCE FROM: Director of Human Resources and School Accreditation/Associate Superintendent of Business Services
JOB GOAL: Interact positively with all stakeholders to the Norfolk Public Schools Central Office. This position also provides support for the office of Human Resources and the office of Business Services as well as other offices as needed. Support activities include: document processing and maintenance, website management, data input for various district forms, maintaining professional growth for certified staff, substitute management, free and reduced lunch applications and support for a variety of digital platforms.
TERMS OF EMPLOYMENT: Eight hours/day; twelve months
EVALUATION: Evaluated annually in accordance with the provisions of the district’s Personnel Evaluation Policy
ESSENTIAL DUTIES:
- Consistent and punctual “on site” attendance at the work site
- Greet visitors in a friendly and genuine manner and provide support as needed.
- Answer phones and provide information to callers as needed, take messages, or transfer calls to appropriate individuals.
- Process, update, and organize district free and reduced lunch applications in accordance with state and federal guidelines.
- Follow established protocols for incoming calls and public communication.
- Prepare student enrollment paperwork
- Efficiently operate office equipment such as fax machines, copiers, and phone systems.
- Manage visitor access to the facility.
- Maintain strict confidentiality of sensitive information in accordance with HIPAA regulations
- Manage the Central Office building calendar to facilitate room and facility usage requests.
- Schedule and coordinate travel arrangements and transportation requests as directed.
- Take minutes for various district meetings as requested (Professional Growth, Award for Excellence, etc.).
- Maintain an orderly and professional work area.
- Maintain a safe, secure, and healthy work environment by following and supporting district protocols and procedures..
- Scan invoices for accounts payable and other documents as directed.
- Assist in preparing materials for workshops (i.e., pre-opening, substitute teachers / paras, etc.) as requested.
- Assist with website management, as directed
- Process paperwork and assist in the placement of clinical/practicum students
- Assist with the logistics for employee recruiting and Career Fairs
- Perform duties associated with the NPS Award for Excellence
- Assist with the district substitute management system as requested.
- Assist with updating the staff directory on the district website.
- Willingness to work flexible hours and periodically provide department assistance during designated time periods throughout the school year.
- Implement staff information and archive data into the district Professional Growth system
- Other duties as assigned.
